Estate Agent Email Templates: Enquiry, Viewing and Vendor Update
Good listing copy gets the enquiry; good email gets the viewing and keeps the vendor happy. Here are three templates estate agents and landlords use every day — an enquiry response, a viewing follow-up and a vendor update — that you can paste and adapt. Swap in the real details, and never promise something you cannot deliver.
1. Responding to an applicant enquiry
Subject: [Property address] — thanks for your enquiry
Hi [name],
Thanks for your interest in [property address]. It is a [one-line summary, e.g. two-bedroom flat with a private balcony and allocated parking], on at [price / rent].
I would be happy to arrange a viewing. Are you free [offer two specific times]? If neither suits, let me know what does.
A couple of quick things that help: are you [chain-free / a cash buyer / in a position to proceed], and [for lettings: looking to move by a particular date]?

Why it works: it answers fast, offers concrete times, and gently qualifies the enquirer without an interrogation.
2. Following up after a viewing
Subject: [Property address] — great to meet you
Hi [name],
It was good to show you around [property address] today. I hope you got a feel for [the standout feature they responded to].
If you have any questions — on [tenure / service charge / what is included / next steps] — just reply here and I will get you the answer.
No pressure at all, but there is [genuine, true context, e.g. a second viewing booked this week], so do let me know if you would like to take it further.
Best, [name]
Why it works: warm, specific to their visit, and it only uses urgency that is actually true. Inventing "lots of interest" to push a decision is the kind of pressure selling that can breach consumer protection rules.
3. Updating a vendor or landlord
Subject: [Property address] — weekly update
Hi [name],
A quick update on [property address] for the past week:
• Portal views: [number]
• Viewings booked or held: [number]
• Feedback: [honest summary, e.g. positive on the kitchen, a couple of comments on the price]
• Offers: [none yet / details]
My recommendation: [clear, honest next step, e.g. hold for another week, or revisit the guide price].
Happy to talk it through whenever suits. Best, [name]
Why it works: it is honest, numbers-led, and ends with a clear recommendation — exactly what keeps a seller's trust, even when the news is mixed.
One rule across all three
Keep every claim true. Do not tell an applicant the property is "about to go" if it is not, and do not tell a vendor there were ten viewings when there were three. The same honesty that keeps your listings compliant protects your reputation in the inbox.
